This role is crucial because you will support the Executives with personal and business-related tasks.

In this role, you will be responsible for everything from researching, booking, arranging travel, office management, and business/personal tasks for the Founder & CEO.

RESPONSIBILITIES:

  • Managing projects on behalf of the Founder/CEO to ensure the team is held accountable.
  • Assist and communicate with executives in decision-making, program management, and initiative implementation.
  • Meeting minutes on all Acquisition.com calls Executives host and document project status from these meetings to hold attendees accountable. 
  • Ensuring the Founders calendar is proactively organized for future weeks. Your job is to ensure maximum productivity within their working hours.
  • Managing Asana board of activities. This gives transparency to the Lead Executive Assistant & CEO and effective cross-collaboration within the Administrative Team.
  • Acknowledging all incoming communication inquiries on behalf of the Founder and CEO, specifically email and inquiries on the website for speaking and events.
  • Assisting the Founder and/or the CEO in the execution of new projects and objectives within the company. This can range from scheduling meetings to filling out all paperwork to managing appointments and follow-ups to launching a new book or funnel.
  • Organizing travel and complicated itineraries and collaborating with the Administrative Team.
  • Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information for the CEO as requested.
  • Reminding the Executives of important tasks and due dates as well as decisions to be made.
  • Research and purchase gifts for both business and personal occasions.
  • Assist with personal tasks such as mail organization, vendor management, deliveries, and keeping the household full with basic groceries and meals if needed.
  • Assist in organizing ‘Mozination’ and ‘Acquisition.com’ in-person meetings/events.
  • Collaboration and communication within the Administrative Team for transparency.
  • Effectively and kindly communicating with team members and/or external stakeholders whilst upholding a high level of professionalism. You are representing the Founder & CEO.
  • Effectively think forward/ahead to ensure all details are communicated with appropriate stakeholders.
  • Coordinate company cadence management including but not limited to Quarterly Planning for the Strategic Team, Acquisition.com Team & Mozi Media.
  • Responds to CEO & Founder in Slack within 3 minutes
  • Assist with workshop tasks, as needed by the Operations team.

RESULTS

  • Projects are managed in Asana in a transparent and organized manner
  • Founder & CEO calendars are organized 3-6 months ahead.
  • Vital business and any/all personal appointments are set and pre-scheduled as requested, keeping in mind distance, drive times, and time between events to accommodate the Executive’s life.
  • Appropriate research is done on behalf of Executives to help direct focus involving new projects, ventures & anything else needing attention.
  • All interactions are screened and handled appropriately, reaching out to the Lead Executive Assistant as needed for decision-making.
  • The Executive’s calendar is pre-planned each week or created/reviewed the week before. Maker time and Quiet days are always guarded and blocked.
  • The Founder/CEOs household and office are clean and organized.
  • The Asana board is updated at minimum EOD each day.
  • All stakeholders are well-informed.

REQUIREMENTS

  • Works well under tight deadlines and pressing situations.
  • Ability to adapt to a fast-growing company.
  • Proven success with project management.
  • HIGH managerial skills.
  • Ability to design organizational systems/SOPs on behalf of the Administrative Team.
  • Strong communication skills included but not limited to discretion and confidentiality, adaptability, active listening, precise and articulate, non-verbal communication.
  • Ability to learn software quickly.
  • Proficiency in writing emails, memos, reports, and other documents with clarity, precision, and professionalism.
    Able to consistently maintain a positive attitude and reflect the demeanor of CEO.
  • Ability to maintain accuracy and discretion under pressure.
  • Exceptional attention to detail when managing high-level administrative tasks such as coordinating executive schedules, preparing executive presentations, and managing travel logistics.
  • Ability to anticipate Founder & CEO 3-5 steps ahead is key.
  • Lives in Las Vegas, NV.
  • Willing to be on-call, as needed.
  • Willing to be available outside of “working hours”.

LOCATION

  • Full-time position based in Las Vegas with a hybrid work model.

TRAVEL

  • Available, as needed (1-2 times a year, if any)

AVAILABILITY

  • Able to work Monday - Friday 8 AM-5 PM
  • Willing to be available outside of “working hours” including evenings and weekends & available to be on-call, as needed.

COMPENSATION

  • $80,000 - $95,000 (based on experience)
