Administrative Assistant
Onsite | Las Vegas, NV

ROLE:

The Administrative Assistant will play a crucial role in supporting the Founder, CEO, and Executive Assistant Team. This individual reports to the Sr. Executive Assistant and will be responsible for handling a variety of personal and business-related tasks to ensure the smooth functioning of daily operations, resulting in a well-organized, efficient, and supportive administrative function that contributes to the overall success of the executive team and the organization.

RESPONSIBILITIES:

  • Complete personal and business-related errands as required by the Founder and CEO.
  • Retrieve and distribute mail and shipments from the mailroom, personal home, and company office if necessary.
  • Select and send gifts for special occasions to teammates, business partners, family, and friends.
  • Order and send swag for new employees
  • Order lunch daily for the Founder, CEO, and occasionally teammates and/or business partners and guests, when applicable.
  • Vehicle Maintenance:
    • Ensure cars are always cleaned, charged, and/or fueled.
    • Schedule and take cars for yearly maintenance, maintaining a schedule for routine upkeep.
  • Home Maintenance:
    • Order and manage inventory of all personal home supplies, ensuring full stock at all times.
    • Schedule semi-annual check-ups for HVAC and other routine maintenance
  • Attend and assist in planning, booking, and setting up in-person meetings and events as needed.
  • Coordinate with vendors for the proper upkeep of the Founder & CEO’s home.
  • Take meeting minutes, as needed.
  • Work closely with the Office Building Manager to ensure Founder & CEO tasks are completed promptly.
  • Be on call on weekends during intense work periods, filming, or travel.
  • Occasionally drive the Founder, CEO, and other teammates to events and meetings.
  • Provide support to the Executive Assistant Team:
    • Organize travel and complex itineraries for the Founder & CEO, including flights, hotels, dining, activities, and guest visits for both business and personal travel.
    • Serve as the point of contact for all travel arrangements and act as an on-site location manager if needed.
    • Be available on weekends for any travel-related issues/questions.
    • Ensure executives have ample time blocked on the calendar for speaking engagements at least 2 months ahead of schedule.
    • Scheduling of meetings and personal appointments.
  • Additional Duties:
    • Perform any other duties deemed necessary by the Founder, CEO, and EA Team.

RESULTS:

  • All responsibilities should be proactively addressed to prevent delays or inefficiencies.
  • Communicate any issues, challenges, or delays promptly to ensure a proactive and collaborative approach to problem-solving.
  • Collaborate effectively with the Executive Assistant Team to ensure seamless communication and coordination of tasks.
  • Maintain clear communication with vendors regarding the upkeep of the Founder & CEO's home, ensuring all necessary arrangements are in place.
  • All Administrative Assistant tasks are properly tracked and updated daily in Asana.

REQUIREMENTS:

  • Works well under tight deadlines and pressing situations.
  • Has a high tolerance to stress and is 'unwavering'.
  • Ability to work in a fast-moving work environment.
  • Efficient with email, phone, scheduling, travel arrangements
  • Working knowledge of G-Suite.
  • Able to consistently maintain a positive, can-do attitude and reflect a professional demeanor.
  • Innate ability to seek out answers from other sources and problem-solve with little input from Supervisor.
  • Minimum of 4 years experience as an Administrative Assistant.
  • Minimum of 2 years of travel arrangement experience.
  • Experience using project management tools i.e. Asana or similar.
  • Willing to be on call on weekends during  intense work periods, filming, or travel
  • Must reside in Las Vegas, NV, and available to work in person Monday- Friday
  • Must be willing to travel to events as needed as coverage for Founder, CEO, and EA Team.

SALARY:

  • $50,000 - $55,000
