As the Building Supervisor, you will take charge of the day-to-day operations and maintenance of our commercial headquarters. Working closely with the Facility Engineer, Executive Assistant team, and owners, you'll orchestrate the coordination and management of construction, maintenance, cleaning, security alarm, landscaping, visitors, events, and ensure compliance with regulatory standards and codes.

 

Your role will be crucial in maintaining the efficiency functionality and aesthetics of our facilities. With your meticulous attention to detail and proactive approach, you'll optimize processes and ensure everything runs smoothly.

RESPONSIBILITIES:

  • Managing and supervising routine building maintenance and repair activities.
  • Responsible for executing a range of handyman services and maintenance tasks.
  • General knowledge with office systems, encompassing HVAC, UPS, Generators, and Boilers.
  • Establish clear expectations with all vendors and specifications for the job or service to be performed, including quality standards, timeliness, and deliverables.
  • Collaborating with vendors to ensure the proper upkeep of the building, encompassing landscaping, pest control, janitorial, handyman services, and other recurring needs.
  • Ensure all new and existing vendors have proper Certificate of Insurance and signed NDAs, before providing services. 
  • Support the Facility Engineer in developing and implementing emergency protocols and procedures.
  • Safeguarding the welfare of both building occupants and visitors by upholding a secure environment.
  • Crafting an outstanding experience for visitors to the building, ensuring a welcoming and memorable atmosphere.
  • Assist the facility engineer in the preparation and diligent monitoring of maintenance budgets.
  • Support the Facility Engineer in conducting regular building inspections and preparing detailed reports.
  • Working closely with the Facility Engineer to secure favorable deals and maintain high standards of service.
  • Adhering to established escalation protocols for promptly addressing urgent matters.
  • Maintain adequate stock levels of food and beverages in the building at all times for the comfort of our staff, while meticulously documenting expenditures for budget analysis purposes.
  • Distribute all incoming mail and packages to the respective departments efficiently while also ensuring proper disposal of packaging materials as necessary, including shredding for confidentiality purposes.
  • Support the Facility Engineer in maintaining a comprehensive asset management list for all equipment, both technical and non-technical, and facilitate the procurement of replacements when required.
  • Ensuring seamless coordination and timely completion of all projects and tasks using Asana as the designated platform.
  • Support the Facility Engineer in overseeing renovations and property upgrades as needed.
  • Providing timely assistance to the Event Team with teardown and set up as well as addressing any facilities-related issues as they arise.
  • Ensure the safety equipment, including AEDs and first aid kits, is kept up-to-date and readily available.
  • Coordinate service calls with the security alarm and camera system as required.
  • Ensure we have gym waivers for all employees and guests on file. 
  • To maintain cleanliness in the building and ensure daily removal of trash.
  • Any other tasks deemed necessary by the Facility Engineer. 
  • Available on weekends and holidays as necessary

 

RESULTS:

  • All vendors are appropriately managed, and the building is kept up to standard
  • Visitors of the building have an exceptional experience
  • The building remains clean, aesthetically appealing and stocked at all times
  • All maintenance and repair requests are done in a timely manner
  • All deliveries are adequately dispersed and logged

 

REQUIREMENTS:

  • At least 2 years of experience as a Building Supervisor or in a similar role.
  • Combination of technical skills (such as plumbing, electrical and HVAC knowledge)
  • Ability to effectively use hand tools and power tools safely and efficiently.
  • Be able to carry more than 30 lbs.
  • Willing to be on site M-F 8-5pm PST (may vary)
  • Ability to work on weekends and longer hours when necessary.
  • Bachelor's degree in business administration, real estate management, or a related field preferred.
  • OSHA 30 certification
  • Knowledge of relevant laws, regulations, and building codes.
  • Excellent project management and negotiation skills.
  • Good communication and customer service skills.
  • Strong critical thinking and problem-solving skills.

Salary

  • $100,000 to $130,000
